Process for your PhD or MS Defense Date and Degree Approval at GFC


Dissertation/Thesis workshop and deadlines
A workshop is scheduled on the first of every month at noon in the GSBS conference room. Contact Dr. Sophie Pina pina@uthscsa.edu if you plan to attend to discuss required forms and instructions 2011 General Instructions for electronic formatting of your dissertation/thesis.


Scheduling your Final Defense and required forms
To schedule your final defense for doctoral and masters, submit:

 i) Form 40 *with original signatures. A faxed signature from the outside member will be accepted.
 ii) Submit 3 copies of abstract and Vita ( stapled together) to Graduate Dean’s office
 iii) A draft of your dissertation or thesis for formatting review to Dr. Piña pina@uthscsa.edu
 iv) Reserve a room with Room Scheduling


Writing your Electronic-Dissertation/Thesis
2011 General Instructions
Send a pdf of your draft dissertation or thesis to Dr. Sophie Piña pina@uthscsa.edu for formatting review approximately 2 weeks before your scheduled date for final oral defense.


Steps to Degree Approval at Graduate Faculty Council
Submit the following items at least 5 days prior to the next GFC meeting which is scheduled on the second Friday of each month. If you have any questions, contact your program administrator or Janice Stong in the Graduate Dean’s office.

 i) Final pdf of dissertation/thesis approved for formatting by Dr. Sophie Pina
 ii) Form 41 (for MS) or Form 43 (for PhD)  with original signatures.
 iii) Approval Page with original signatures by all faculty on Supervising Committee

Following Approval at Graduate Faculty Council
You will receive notification from your program administrator if you received degree approval at the GFC. You are required to submit your dissertation/thesis to the publishing company ProQuest/UMI for microfilming and electronic publishing/storage.


ProQuest/UMI Submission
The Proquest/UMI website also provides publishing guides regarding your options for traditional publishing verses open access publishing and registering for copyrights. There are fees associated with some of these additional options. Beginning September 27, 2010, there will be no fee for traditional publishing for theses and dissertations.

In the center box click on: Submit my Dissertation/thesis. The process is very straightforward. One important point to remember is when you are asked to type the title of your dissertation**Do not copy and paste, this must be typed out.


Binding of Dissertation
The form for binding of your dissertation can be obtained from your department COGS Assistant or Administrator. This form is required to be sent to the UTHSCSA library along with the number of copies you want bound. It is optional if you would like to print your dissertation on 20% cotton paper. If the department is going to pay for one or more copies, please get the required account information from your department administrator.
Note: The UTHSCSA Library will not make copies or print your dissertation/thesis.

 3. Library Copyright Permission
 4. Survey of Earned Doctorates
